PRIVACY POLICY / 16 OCTOBER 2026
Your information.
Your choice.
This policy explains how Valent uses personal information from website enquiries, training requests, call bookings and website analytics.
1. Who we are.
VALENT LTD (“Valent”, “we” or “us”) is responsible for the personal information described in this policy.
Company number: 17335448
Registered in: England and Wales
Registered office: 2 Penrith Avenue, Manchester, M33 3FN, United Kingdom
Privacy contact: matt@wearevalent.com
2. What we collect.
When you contact us, we collect the information you choose to provide. This may include your name, work email, company, website, market, service interests, visibility challenges and message.
Training enquiries may also include team size, preferred format and topics. If you book a call, we receive your booking and contact details through Calendly.
We also record privacy acknowledgements, marketing choices and relevant correspondence.
Our hosting provider may process technical information, including IP addresses, requested pages, browser information and request times, in operational and security logs.
If you accept analytics cookies, Google Analytics processes information about your visit and interactions, as explained below.
Please avoid sending sensitive personal information or unnecessary personal details about other people.
3. How and why we use your information.
We use your information to:
- Respond to enquiries and discuss your requirements.
- Arrange calls, assessments and training.
- Prepare proposals and deliver agreed services.
- Maintain business records and protect the website.
- Send Valent marketing emails where you have opted in.
- Understand and improve website use where you accept analytics.
Where you are the contracting party, our lawful basis is taking steps at your request before entering a contract, or performing that contract.
Where you contact us on behalf of an organisation, we rely on our legitimate interests in responding to business enquiries and managing business relationships.
We also rely on legitimate interests to maintain website security, prevent misuse and keep proportionate records. We consider your interests and rights when doing so.
We rely on consent for the optional email marketing and analytics described in this policy, and on legal obligations where we must retain or disclose information to comply with the law.
4. Marketing is your choice.
For contacts collected through our website forms, we send marketing emails only when you actively select the optional marketing box.
These emails may cover Valent’s insights, news, events and services.
Making an enquiry, booking a call or acknowledging this policy does not automatically enrol you in marketing. You can enquire without opting in.
We do not sell or rent your contact information, or share it with other organisations for their own marketing.
You can withdraw consent or object to direct marketing at any time by using the unsubscribe option in an email, replying asking us to stop, or contacting matt@wearevalent.com.
Withdrawal does not affect processing already carried out lawfully. We retain a minimal suppression record where necessary to ensure we do not contact you again for marketing.
5. How our enquiry forms work.
Our website currently prepares an email in your own email application. You can review it before sending.
Completing the form alone does not send its contents to Valent. We receive the enquiry when you send the email.
The prepared email includes your enquiry, privacy acknowledgement, marketing choice, policy version and preparation date. It is not a confirmed booking, purchase or commitment to payment.
Required fields allow us to respond and confirm that you have seen our privacy notice. Other fields are optional unless marked.
You are not legally obliged to make an enquiry or provide these details, but we cannot reply without suitable contact information.
6. Service providers and other disclosures.
We use providers necessary to operate our website and business, including:
- Opalstack: website hosting.
- Email and communications providers: correspondence.
- Calendly: appointment scheduling.
- Google: consent-based website analytics.
We make relevant information available only for the service being provided. Providers processing information on our behalf must operate under appropriate contractual terms.
Where a third-party service processes personal information independently, its own privacy notice applies to that processing. Valent remains responsible for meeting its legal obligations when selecting and using service providers.
We may also disclose information where required by law, to protect legal rights, or to professional advisers under confidentiality obligations.
Nothing in this policy limits your statutory data protection rights.
7. International processing.
Some providers may process personal information outside the UK.
Where this involves a restricted international transfer, the transfer must be supported by an applicable adequacy arrangement or appropriate safeguards, such as approved contractual terms and the necessary transfer assessment.
You can contact us for information about the arrangements relevant to your personal information and how to obtain available copies of safeguards.
8. How long we keep information.
Enquiries that do not become client work: We retain these for up to 24 months after the last meaningful contact, unless a complaint, dispute or legal requirement justifies a longer period.
Client and financial records: We retain relevant records according to contractual requirements, applicable statutory obligations and any legitimate need to establish or defend legal claims.
Marketing contacts: We retain contact information while consent remains valid. We review contacts after 24 months without meaningful engagement and remove them where there is no continuing justification. We act on withdrawals and objections sooner.
Consent and suppression records: We retain proportionate evidence of consent and minimal suppression information for as long as needed to demonstrate compliance and honour your choices.
Technical logs and analytics: These follow the applicable provider settings and security requirements. Browser-level cookie periods are explained below.
We review information and arrange deletion or anonymisation when it is no longer needed.
9. Cookies, analytics and your choices.
We use Google Analytics 4 to understand website visits and improve our content and visitor journeys.
Analytics is optional. We load the analytics tag only after you accept analytics cookies.
Rejecting analytics does not stop you browsing the website, making an enquiry or booking a call.
You can change your choice at any time through Cookie settings in the footer. Withdrawing consent blocks further analytics collection and removes the site’s accessible Google Analytics cookies. It does not automatically erase information already processed lawfully.
With your consent, Google may process online identifiers, IP address, device and browser information, visited pages, referral domains and interaction events.
Our custom events record:
- Page and Insights views.
- Scrolling through 75% of a page.
- Assessment booking-button clicks.
- Preparation of an enquiry email.
A booking click or prepared email does not confirm that a booking or enquiry was completed.
We do not intentionally send names, email addresses, form answers or message content in these custom events. Our configured page URLs exclude query strings and fragments, and referral URLs are reduced to their domain.
Advertising features and Google signals are disabled in our tag configuration.
We remember your analytics choice in browser storage for 180 days. If accepted, Google Analytics cookies are configured to last up to 180 days, without extending their lifetime on each page load. Google Analytics event-data retention is controlled separately through the analytics account.
For more information, see Google’s privacy policy and its information about partner websites.
We also store your motion preference locally. The website does not install advertising trackers.
Calendly’s booking tools load when you choose to open the calendar. Its own cookie notice and controls apply to that service.
Analytics consent and email marketing consent are separate choices.
10. Your rights.
Depending on the circumstances, you can ask us to:
- Provide access to your personal information.
- Correct inaccurate information.
- Delete information.
- Restrict its use.
- Provide information you supplied in a portable format.
You can object to processing based on legitimate interests. You have an absolute right to object to the use of your personal information for direct marketing.
You can withdraw consent at any time. Some rights are subject to legal conditions or exceptions.
To make a request, email matt@wearevalent.com. We may need proportionate information to verify your identity.
We normally respond within one month, subject to lawful extensions or pauses where applicable.
You may complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to contact us first, although we welcome the opportunity to resolve concerns.
11. Security and automated decisions.
We use appropriate organisational and technical measures to protect personal information and limit access to people who need it.
No internet or email service can guarantee absolute security.
We do not use website enquiries to make solely automated decisions that have legal or similarly significant effects on you.
12. Changes to this policy.
We will update this policy when our practices or legal obligations change and show the revised date.
We will provide additional notice, and seek fresh consent, where required.
